The proposed ERP system is designed to provide the required framework for managing operations, maintenance, and accounting. The main users of the system include the maintenance team, operation team, accounting team, HR team, and storekeeper.

Several meetings will be conducted between the concerned teams and the contractor to understand the business requirements and ensure the complete business requirements are met. The contractor will also be responsible for migrating data from the old accounting system to the new one and providing training for users and super users.

The ERP finance module will handle the main accounting and financial management functions, such as the general ledger (GL) and balance sheet, generate financial reports, and handle related transactions, such as invoicing and expense reporting. In addition to the existing Libra software, the following features are required:

  • Consolidation module to consolidate auxiliary accounts and GL accounts by company
  • Import feature of Payment request forms to Auxiliary accounts receivables, and automated recording of entry
  • Modification of currency in invoices, with VAT to be exchanged at the official rate and multiple currency rates.
  • Comprehensive dashboard, including all cash balances, largest receivables, and largest payables.
  • Flexible reporting, including cash flow, PL by cost center by currency, monthly PL by currency, balance sheet by currency, and aging reports.
  • Automated recording of recurring invoices.
  • Budget to expense monthly reporting.


Maintenance management is critical to facility management and is a determining factor in the long-term success of the company. The proposed system can track and plan all maintenance on company assets, from scheduling to work orders, including:

  • Maintenance Planning & Scheduling.
  • Work Order Maintenance Management.
  • Regulatory Compliance.
  • Material and Parts Management.
  • Maintenance Management Cost Calculation.


The system will also support scheduled and preventive maintenance, including regular check-ups on equipment to avoid unexpected breakdowns. Additionally, the system supports asset and equipment maintenance, facility inventory management, work order management, vendor management, incident management, and personnel scheduling.
